Action Indicators and Downtime

The Complete/Close window may include a section displaying actions that should be taken. The default values for these controls are based on preferences set for the Work Order Complete/Close window.

ClosedTasks

The Set All Tasks Complete check box will mark each task listed on the Work Order Tasks page as complete. This option makes global changes to the records associated with the work order. That is, if you set all tasks complete, all tasks will be marked complete. If you wish to only have particular tasks marked complete, you should use the Tasks page. 

Mark all tasks as complete: 

  1. Select the Set All Tasks Complete check box.

  2. Update the initials if necessary.

    Once you click the Apply button, Maintenance Connection will mark all existing task records as complete.

ClosedDowntime

  1. Select the Set Downtime check box.

    If the asset was shut down during work order creation, the setting will be Return Asset to Service instead of Set Downtime.

    When you have finished entering the settings in this dialog and click the Apply button, the Asset Downtime window opens, allowing you to enter downtime.

  2. Choose between two options:

    • If this asset was previously removed from service, the shutdown date will indicate this date and the in service date will list the current date. The downtime is automatically calculated and displayed. Modify the dates and/or downtime as needed.

    • If this asset was not previously removed from service, the shutdown and in service date fields will both list the current date and downtime will not be calculated. Enter the correct dates and corresponding downtime.

  3. Enter any additional descriptive information for the downtime in the text area provided.

  4. Click Apply.

    You may receive a warning, indicating that the downtime recorded may impact PM Schedules for the asset. This warning only displays if your organization is configured to provide a warning. In addition, the asset must be tied to date based PM Schedules and the downtime must exceed the defined threshold for the warning.

  5. Review the next schedule dates to determine if any adjustments are necessary.

    Pay particular attention to dates shown in the past, as this could be an indication that unwanted work orders may generate during the nightly PM Generation process.

    • If you have access to the pages on which PM Asset Schedules are set, it is recommended that you use the available Set Next feature to modify the schedule.

    • If you do not have access to the pages on which PM Asset Schedules can be set, you can use the link provided to initiate an email to a supervisor warning them that the schedule should be reviewed prior to the nightly PM Generation process. This link can also be used to send a reminder email to yourself to check the schedule later in the day.

ClosedDrawings

If modifications need to be made to schematics, check the Asset Drawing Updates Needed check box. The flag on the Details page of the work order will be updated, ensuring this record is included on any reports covering this issue.
